Description and Requirements

The Project Budget Analyst provides data gathering, analytical, and other functional support to Project Managers and others responsible for managing billable services in active studies. Functional support includes project budgeting; capturing and recording the professional resources and the reimbursable and pass through expenses chargeable to projects and/or billable to clients; monitoring actual vs. budgeted project revenue and expense; facilitating timely and accurate billing and collections; and tracking and managing the profitability of projects and related change orders.

Location:  The person hired will need to work in our Hamilton NJ office at least 2-3 days per week, once we fully open our offices.  This date is yet to be determined.   This is subject to change based on company needs.

Educational Requirements:

  • Bachelor's degree in Accounting, Finance or another business-related field. 

Qualifications / Experience:

  • Experience with financial reporting, accounting and/or bookkeeping, especially in a project management environment.
  • Experience with project management and/or time and billing systems a plus.
  • Experience with NetSuite’s ARM a plus
  • Advanced Excel skills.
  • Excellent written and communication skills.
  • Outstanding attention to detail. 

Essential Duties / Requirements:

  • Assist Project Managers and affected departments in scoping and pricing prospective studies and related professional resources, media, and scales as required by Business Development proposal activities.
  • Assist Project Managers in setting definitive project budgets, deliverable milestones, and billing schedules for professional services and project reimbursable and pass-through.
  • Help establish internal work and external purchase orders for reimbursable expense items and pass-through items chargeable to the project and/or billable to clients.
  • May need to occasionally assist with collections activities
  • Create new contract budgeted activity, deliverable milestones and billable events for professional services, expenses and pass-through
  • Assist Project Managers in developing and preparing change order submission documents, including price quotes, deliverable milestones, and billing schedules.
  • Deliver executable change order submission documents to the BD Proposal Manager
  • Create new change order records for budgeted activity, deliverables and billable events for professional staff, reimbursable expenses and pass-through
  • Capture and record the project professional time, expenses and pass-through, and billings for timeliness, accuracy and completeness. Work with the Project Manager and Operations to resolve discrepancies.
  • Create regular and on-demand budget reconciliation reports for Project Managers Track and forecast timeliness performance and profitability of projects
  • Based on billing provisions of the Work Order, work with the Project Manager and affected department heads to identify ready-to-bill service milestones, media and scale fulfillments or other pass-through deliverables.
  • Create regular budget reconciliation reports for project managers as well as on demand and at project end
  • Work with Project Manager and Operations to analyze and report on final project profitability.  Based on project outcomes, identify opportunities for cost efficiencies and savings on project services and other deliverables.
